FILEHUB ANALYST GUIDES

How do I count unique customers in Excel?

An invoice report can contain 10,000 lines but only 350 customers. Counting rows gives transactions, not customers. Pick a reliable customer identifier, such as Customer ID or Account Number, before you calculate.

1. Use a reliable customer key

Names are not always unique. If the same customer appears as “Smith Stores Ltd” and “Smith Store Limited”, either normalize the name or join each row to an approved master customer ID.

2. Count distinct nonblank customer IDs

In Excel 365, assuming IDs are in B2:B5000, enter =ROWS(UNIQUE(FILTER(B2:B5000,B2:B5000<>""))). This excludes blanks and counts a customer with multiple invoices only once.

3. Count unique customers by region

To count customers in West region, if regions are in C2:C5000, use =ROWS(UNIQUE(FILTER(B2:B5000,(C2:C5000="West")*(B2:B5000<>"")))). Replace West with a cell reference for a reusable report.

4. Check mappings before presenting totals

Blank IDs, merged accounts, and customers assigned to multiple regions can distort counts. FileHub Analyst lets you map first, then choose the customer and region columns to report.

Frequently asked questions

Is a customer count the same as a transaction count?

No. Unique customers count distinct customer keys; transaction count counts rows or invoices.

Will text differences affect results?

Yes, unless customer names are linked to a verified, consistent customer key.

Prefer to do this without building the formulas?

Upload your Excel file to FileHub Analyst, select the columns and get a report. If your data needs mapping first, you can review matches before exporting.
